Direct Update of EN Trans. - ENUPTR
The Encumbrances (EN) Direct Update of EN Trans. (ENUPTR) page is used to view the detail of transactions in the Encumbrance database. The Direct Update function can also be used to correct select field entries that have been distributed to the Encumbrance database. Any corrections made through direct update will only be changed in this database and will not be posted to any other system. Fields restricted from editing are greyed out; fields available to edit are primarily reference fields, used for data gathering and reporting purposes.
BusinessPLUS best practices recommend that tight user-security be established if this feature is going to be used.
Reference: This field echoes the reference number associated with the transaction record.
Vendor ID: This field echoes the vendor ID and name associated with the transaction record.
Account: This field echoes the ledger code and account number associated with the transaction record.
Description: This field echoes the original description associated with the transaction record; the description may be overwritten with up to 30 characters that describe this distribution transaction.
EN Type: This field echoes EN type associated with the transaction record.
PR Item #: This field echoes the purchase item number associated with the requisition number.
PR #: This field echoes the purchase requisition number associated with the transaction record.
Due Date, PO Date, and Post Date: These fields echo the dates associated with the purchase requisition of this transaction record.
Relate 1 & 2: This field echoes the original "relate to" codes associated with the transaction record; these codes may be overwritten with a selection from the drop-down list. Most clients use the Relate To fields to indicate if a particular distribution amount is to be applicable to 1099s.
PO Type: This field echoes the original PO type associated with the transaction record; the PO type may be overwritten with a selection from the drop-down list. This code is used to define the type of Purchase Order that is defined: "P" indicates a standard Purchase Order; "B" indicates a Blanket Purchase Order; and, "C" indicates a Contract. These values are supplied for extraction and categorization purposes. The system posts all transactions in the same manner regardless of the PO type defined.
Misc: This field echoes the original Misc codes associated with the transaction record; Misc codes may be overwritten "fee form" and are used for data gathering and reporting. When transactions are entered into the Encumbrance system, each transaction may have an optional Miscellaneous Code associated with it. Miscellaneous Codes are four-character codes that are used for a variety of purposes. For example, it may be helpful to put a Miscellaneous Code of "HAZM" on all EN transactions that relate to the purchase of hazardous materials.
Secondary Ref: This field echoes the original secondary reference associated with the transaction record; this secondary reference may be overwritten with up to 16 characters of additional information regarding the encumbrance. A common use for this field is entering manually prepared purchase order numbers.
Div: This field echoes the original division code associated with the transaction record; this division code may be overwritten with a selection from the drop-down list.
Product ID: This field echoes the original product ID associated with the transaction record; this product ID may be overwritten with a selection from the Product ID lookup table.
Set ID: This field echoes the Set ID associated with the reference.
Prep ID: This field echoes the user ID of the person that created the original transaction. This field can be overwritten with the user ID of the person entering changes to this transaction record.
Quantity: This field echoes the quantity associated with the transaction record.
Units of Measure: This field echoes the original unit of measure associated with the transaction record; the unit of measure may be overwritten with a selection from the drop-down list.
Tax 1, Tax 2, Charge, Duty, and Extended Amount: These fields echo the rates/amounts associated with (and derived from) the purchase requisition of this transaction record.
Posting Code: Free-form code used for data gathering and reporting.
Transaction Format: This field echoes the original transaction format code associated with the transaction record; this format may be overwritten with a selection from the drop-down list. This code directs the format in which the GL transaction description, as it would appear in the general ledger, is to be created by the system.
Job Number: This field echoes the job number associated with the reference.
Pay Type: This field is to be used with account-level disencumbering only. When making a partial payment against a PO (type = 'PP') there are two options. If a "PP" is placed in this field, the payment is applied against this account as usual and the amount is subtracted from the account's balance. If a "FP" is placed in this field, the account is considered disencumbered and the balance for this account/PO combination will be zero. The PO is still considered open with all other accounts within the PO unaffected. To make a final payment and close the PO, one must use a FP in the "TYPE" field as usual.
Original FY: This field echoes the original fiscal year associated with the reference.
DE Job Number: If the purchase order is no longer valid and has been disencumbered, the Dis-Encumbrance Job Number is echoed here.
