System Setup - PY
Payroll system setup information consists of parameters that are modified to reflect how a particular organization processes payroll.
Entity Information
Define the system-wide options and specify certain organizational information for reporting purposes. The Entity Definition portion of system setup involves seven tabs of Payroll General Information (PYUPGN) page. All clients must define a ROOT entity for basic configuration settings. All page tabs are used in defining the ROOT entity. Organizations with only one employer tax ID (EIN), typically define only the ROOT entity.
A payroll subledger can be set up to capture detailed posting information at the employee level before it is summarized at the fund level on the general ledger. Refer to Payroll Process Definition: Subledger for more information.
Time Cycle Information
Determine Pay Periods, Work Schedules, and Calendars. This information may be structured in detail or simply consist of the basic definitions installed with the database. Timing parameters usually need annual updating.
The Payroll (PY) Pay Period Definition (PYUPPR) page is used to define pay period records to identify payroll events. Pay periods must be defined prior to processing payroll. Typically, at the beginning of the year, all the normal pay periods for the year are defined.
The Payroll (PY) Work Schedule Definition (PYUPSC) page is used to define daily work schedules (a combination of a schedule codes and a day codes).
The Payroll (PY) Calendar Definition (PYUPCA) page is used to identify the types of days (for example, Holiday or Saturday) for a particular year.
Salary Information
Specify employee salaries. This may include Salary Grades/tables, Job definitions, Position definitions, or override information from the Human Resource Information or Position Control systems. Typically, this information is only updated periodically.
The Payroll (PY) Salary Grade Definition (PYUPGD) page is used to define a salary grade and step table. Each grade is defined as a master definition record that has a unique code and cannot be duplicated.
The Payroll (PY) Job/Position Definition (PYUPJB) page is used to define job classifications within the Payroll system, as well as various positions within a job classification.
Payroll Information
Payroll parameters are required for processing a payroll.
Contributions (PYUPCC), deductions (PYUPDD), and hour (PYUPHH) definitions consist of descriptive information, processing flags, and calculation formulae. This information is used at various stages of processing a payroll. Although these three pages are very similar, there are important differences in the Process Switches tab settings. Process Switches are unique between Contributions, Deductions, and Hours. After defining contributions, deductions, and hours, the Payroll (PY) Employee CDH Assignment (PYUPEC) page is used to assign the definitions to employees; this page is populated from the Human Resources (HR) module.
The Payroll (PY) Pay Class Definition (PYUPPY) page is used to define various types of pay classes. Pay classes are used to group together employees who are able to receive the same class or set of patched hours. This definition specifies all the valid hour definitions to be used for each pay class.
This display-only Payroll (PY) Pay Assignment Code (PYUPAC) page is used to browse all the unique Pay Strings and their numeric counterparts that have been defined. The user may not add, change, or delete any entries on this page.
