Creating the Work Request

The WOUPWR page is most commonly used to create a request for work to be done. It is a simplified version of the WOUPWO page, which was designed to allow users to create a simple work request without being overwhelmed by all of the fields available from the WOUPWO page. The user can track the status and cost of the work order. Moreover, template work orders can be created for commonly requested work, and users can adjust for specific needs. The process provides greater standardization of work orders and minimize the data the user is required to enter.

The work request entered may vary depending on the type of work order being processed for the respective entity. For example:

  • Facilities Maintenance – request to repair damage or wear to physical buildings, paint over graffiti, replace ceiling tiles, carpet cleaning, etc.
  • Grounds Maintenance – request to repair damage on facility grounds, parking lots, athletic fields, repair sprinklers, fill in potholes, snow removal, etc.
  • IT/IS/Technology – requests for computer/technology services.
  • Hardware/Software/Technology provider sourcing, virus removal, etc.

Most of the users assigned in the work order management system will only have access to the Work Request page to simply process and optimize work order requests. Users with access to the WOUPWR can create the request with a minimal amount of information, attach any related documents and submit the request for workflow approvals to management. Submitted documents can include cost estimates so that a determination can be made to proceed with the work order or to scrap the request if it is determined to be too costly.

The work request can be entered and sent through Workflow to another individual for an estimate request. When the estimated costs have been provided, the work request can then be returned by Workflow to the creator and evaluated, so that they can determine if management wants to approve the work order and proceed with having the work performed. The page also provides the creator with the ability to monitor the status of the work order and the actual costs versus the estimated costs associated with the work being performed.
