Student Group Setup

There are three steps needed to set up a student group for the Student Activities module.

Step 1

Consider the accounting required for the accounting department. Within that framework, create or identify the active GL Organization Keys, also known as Org Keys, and Object Codes:

  • An Org Key can be created or selected from the General Ledger (GL) Organization Keys (GLUPKY) page. Consider using the Org Key for the Student Group ID, more commonly known as the PE ID (Refer to Step 2). Naming conventions for an Org Key are set on the GL General Information (GLUPGN) page. For example, create a key for a group called StudAct and then use the key StudAct to create the Student Group ID.

  • Object Codes can be created or selected from the GL Object Codes (GLUPOB) page.

  • The various part codes used to create either an Org Key and/or an Object Code can be accessed quickly by looking at available Links embedded on the left-side menu bar.

  • An optional feature is to create one Bank ID for each Student Group and link the Bank ID with the appropriate Cash Account within the NU Common Code page (CKID/XX).

  • Another option is to create a beginning fund balance via the GL Journal Entry (GLJEUB) page.

Step 2

Create a Person/Entity record for the group and complete the following:

  • Use the SA Student Group Setup (SAUPSS) page Lookup controller to find a defined PE ID or add one. The Add button opens to the Person/Entity (PE) Information (PEUPPE) page to define a new PE ID (Student Group). Additionally, a convenient tactic is to use a Student Activities Group Org Key number as its PE ID Number, as indicated in Step 1.

  • Type SA in either the Select 1 or Select 2 field within the PE Information page. Then complete the PE Information page for the Student Group and various fields and tabs.

Step 3

Using the SA Student Group Setup page, the Student Group is entered into the Student Activities subsystem by entering the Student Group ID that was created within the PE Information page and all other information associated with the group.
