Credential Holder - HRCRCD
The Human Resources (HR) Credential Holder (HRCRCD) page is the main source or starting point for Credential tracking. The primary key is the Social Security Number (SSN). This is different from other employee related pages such as HREM or HRPY where the Employee ID and Entity are used as the key to identify the unique employee. Employees, non-employees, and applicants may be included and tracked in the Credential Module.
If the individual is not defined in the HR Credential Holder, he or she cannot be entered into any of the additional Credential Tracking pages. If set up, when credential requirements are not met, as when a PCN and Position are assigned on the HR Pay Assignments (HRPYPA) page, the system displays a warning.
The Credential Holder SSN, Last and First Name, Credential Status, and Action information are required entry fields. If the Credential Holder is an employee, this and other information can default from the HR Employee Master (HREMEN) page. On the Primary tab of the HR Employee Master, there is a checkbox that identifies the employee as a Credential Holder. If the box is selected, the system automatically populates the HR Credential Holder page with employee information where fields match. All other information must be entered directly on the page.
SSN: Enter the Credential Holder Social Security Number. The SSN is system-derived when Credential Holder is selected on the Primary tab of the HR Employee Master page.
First Name: Enter the Credential Holder first name. It populates the Full Name field. The first name is system-derived from the HR Employee Master page, when Credential Holder is selected on the Primary tab.
Middle Name: Optionally, enter Credential Holder middle name or initial. It populates the Full Name field.
Last Name: Enter the Credential Holder last name. It populates the Full Name field. The last name is system-derived when Credential Holder is selected on the Primary tab of the HR Employee Master page.
Full Name: System-derived echo of Last Name, First Name, Middle Name entries.
Credential Status: The Credential Holder Credential Status. Code values are restricted to static system codes.
State Test Date: Indicates the date the CBEST test was taken. This value may also be a timeframe (FALL 13, 13-14, etc.). If entering a date, use MM/DD/YYYY format.

Detail Information
Employee ID: Indicates an Employee ID that is associated with the Credential Holder SSN. The field automatically populates if the Credential record is created via the HR Employee Master page. The field may also be manually entered. Any value entered into the field is validated against the HR Employee Master page to ensure it is the correct ID for the SSN.
State Employee ID: State assigned ID.
Satisfies Federal NCLB Requirement: Indicates if the Credential Holder possesses a credential that meets the federal requirement. If this checkbox is selected, then the NCLB Credential field on the Primary tab of the HR Employee Master page is also selected.
Former Name: When the last name changes, this value defaults to the previous last name. If the last name has not changed, a Former Name may be entered. System derived.
Date of Birth: The Credential Holder date of birth. The Date of Birth is system-derived from the HR Employee Master page, when Credential Holder is selected.
Clearing House Code: Indicates the fingerprint Clearing House status. Typically, a Y indicates that the individual's fingerprints are on file at the Clearing House.
State Test Status: Indicates the CBEST status. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of CBEST_STAT.
Address 1/2: The Credential Holder address. The complete address is system-derived from the HR Employee Master page, when Credential Holder is selected and an address exists.
City: System-derived based on zip code. May also be manually entered.
State: System-derived based on zip code. May also be manually entered. Codes are defined in the NU Common Codes (NUUPCD) page under the Code Category of PEST.
Zip: Zip code and extension, if available. The city and state associated with the zip code are displayed automatically. The city and state fields are not automatically changed unless the fields are cleared either by spacing over the data or by using the key combination of Ctrl-D. Validates to the Zip Code Translation (PEUPZP) page.
Zip Ext: Four-digit extension associated with the zip code.
Country: Indicates the Country Code. Codes are defined in the NU Common Codes page under the Code Category of PECO.
County: Indicates the County Code. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of COUNTY.
Phone Cd(s): Indicates the phone code values. Codes are defined in the NU Common Codes page under the Code Category of PEPH.
Phone Number(s): Enter the 7 or 10 digit phone number. Formatting of the area code and phone number is automatic upon tabbing out of the field. The phone numbers are system-derived from the HR Employee Master page, when Credential Holder is selected on the Primary tab and a phone number exists.
Phone Extension(s): Indicates the phone number extensions, if available.
Satisfies Federal NCLB Requirement: Indicates if the employee is No Child Left Behind credentialed.
Status Information
Action: Indicates the action or purpose for entering or modifying a record. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of ACTION_CODE. Action code defaults when the record information is derived from another source or page.
