Credential Information - HRCRCN

The Credential Information (HRCRCN) page tracks the credentials held by an individual. Employees, non-employees, and applicants may be included and tracked within the Credential Module. The individual must exist in the HR Credential Holder (HRCRCD) page in order to track information in this page.

You can add or edit records in full screen or grid mode.

SSN: Enter the credential holder's social security number. Codes are defined on the Credential Holder (HRCRCD) page.

Name: System-derived from the HR Credential Holder page based on SSN (Last Name, First Name, MI).

State Test Date/Status: System-derived from the HR Credential Holder page based on SSN. This is an actual date or a timeframe.

Credential Status: System-derived from the HR Credential Holder page based on SSN.

Credential Term: Enter the Credential Term. The Credential Term refers to the duration of the credential (for example, the credential is active for 5 years or is cleared for use indefinitely). Codes are defined on the HR Credential Term Codes (HRTBCRTT) page.

Credential Type: Enter the Credential Type. The Credential Type refers to the type or kind of credential (for example, Basic Secondary, Primary Elementary, Administrators). Codes are defined on the HR Credential Type Codes (HRTBCRTC) page.

Document #: Enter the document number associated with the entry. If there is no document number, enter a value as a placeholder. Both the master and detail table records receive the initial document number. After it is saved, the detail records do not receive document number updates. This is by design, to maintain the original document number on detail records used for historical tracking.

Replacement Document #: If you need to identify a replacement document (either the number to replace the value found in the document field, or the number replaced by the value found in the document field), enter the value in this field. This field stores the replacement document number. By itself, nothing is done with the value.

Replace Doc # with Replacement #: Select this option to load the replacement document number into the document number field when the record is saved. Detail records do not receive document number updates. This is by design, to maintain the original document number on detail records used for historical tracking. If a new document number is needed, then thought should be given to whether to enter a new credential with updated dates. You can use copy and paste and enter the new document number.

Effective Dates: Enter the dates that the credential assignment is active.

Original Issue Date: Indicate the date the credential was originally issued to the credential holder.

Registration Date: Enter the credential registration date.

To Clear Requirements: Enter the date when the credential assignment is to be cleared. This is a free form text field. It is not a coded value.

Authorization Codes: Enter any authorization associated with the credential assignment. Codes are defined on the HR Credential Authorization Codes (HRTBCRAU) page.

Renewal Codes: Enter any renewal codes or requirements associated with the credential assignment. Codes are defined on the HR Credential Renewal Codes (HRTBCRRC) page.

Restricted District 1 and 2: Enter any restricted districts associated with the credential assignment. Codes are defined on the HR District Restriction Codes (HRTBCRDR) page.

Agency Restriction 1 and 2: Enter any restricted agencies associated with the credential assignment. Codes are defined on the HR Agency Restriction Codes (HRTBCRAR) page.

County Restriction 1 and 2: Enter any restricted counties associated with the credential assignment. Codes are defined on the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of COUNTY_RESTRICTN.

Grades: Enter any associated grade considerations, codes, or restrictions. Any value may be entered. This value is derived from HR Credential Type Codes by credential type, if a value exists there.

Special Grades: Enter any associated special grade considerations, codes, or restrictions. Any value may be entered.

Notes: Enter any associated notes.

Primary View

Board Resolution Date: Enter the Board Approval or Consideration Date.

TCC Orange Card: Enter the TCC code (California only). This is free form test field.

TCC Expiration Date: Enter the TCC Expiration Date (California only).

Basis: Enter the Credential Basis Code. Codes are defined on the HR Credential Basis Codes (HRTBCRBC) page.

County View

Term: The Application Term Code. Codes are defined on the HR Credential Term Codes page.

Application Fee: The Application Fee amount.

41-4: Enter the application for 41-4 code. 41-4 document filed (California only).

41CIC: Enter the application for 41CIC code. 41CIC document filed (California only).

Full/Part Time: Indicate if the applicant is to work Full Time or Part Time.

Transfer Code: Enter the Applicant Transfer code. Transcript necessary, granted, or required.

Certificate of Clearance Applies: Indicate if there is any certificate clearance issue.

Degree Code, 2: Degree Code associated with the application. Codes are defined on the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of DEGREE_CODE.

Professional Growth Applies: Enter X if the Application Growth requirement applies to this applicant. Professional Growth allowed, required, necessary, or granted, statement received.

Experience Code: Enter the Experience code. Experience necessary, granted, or required.

Credential Copy Applies: Enter X if the Credential Copy requirement applies to this applicant. Credential Copy requirement, necessary, granted, or received.

Application Intent Applies: Enter the Applicant Intent code. CL469 Intent document filed (California only).

Commission Label, 2, 3, 4: Enter the commission labels.

Exams 1, 2, 3, 4: Any exams necessary, granted, or required.

Grid Section of Primary and County Views

Action: Indicates the action or purpose for entering or modifying a record. Codes are defined on the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of ACTION_CODE.

Subject: Enter the Subject Code value. This value identifies the Major, Minor, or Endorsement codes that may be assigned based on the credential type. Codes are defined on the HR Credential Types Holding (HRTBCRTH) page. (System Use Table created when data entry is performed on HRTBCRTC.)

Table Type: This value is system-derived based on the Subject Code entered. Unless the Subject Code equals NA (indicating that a Subject Code was not found) this value automatically fills with an SU for Major Codes or SA for Minor Codes. Codes are defined on the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of CREDENTLS_TBL_TP.

Code: Enter the Major, Minor, or Endorsement code identifying what the credential holder can do with the given Credential Term and Type. Codes are defined on the Major/Minor Codes (HRTBCRMA) page where the Credential Type matches what is on the page.

Description: The description of the Major, Minor, or Endorsement code is automatically retrieved unless the Major, Minor, or Endorsement code = X. If the Major, Minor, or Endorsement code is X, any description may be entered. Derived from HR Major/Minor Codes page.

Grade: Enter any specific grades associated with the Major, Minor, or Endorsement line item. Codes are defined on the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of GRADE_CODE.
