Education and Skills - HREMES
The Human Resource (HR) Education and Skills (HREMES) tabbed pages track various educational and skills-related information. Fields with bold labels are required. If an employee was hired through the applicant tracking or recruitment processes, any information entered into the applicant education, license, skills, experience, or work history areas appear on the associated tab of this page.
You can add or edit records in full screen or grid mode.
Header
All fields in the header are read only.
Entity: System-derived from the HR Employee Master, based on the entered Employee ID.
Employee ID: Indicates the employee identification number. Codes available for selection are defined on the HR Employee Master (HREMEN) page.
Name: System derived from the HR Employee Master, based on the entered Employee ID.
Social Security #: System derived from the HR Employee Master, based on the entered Employee ID.
Type: System derived from the HR Employee Master, based on the entered Employee ID.
Bargaining Unit: System derived from the HR Employee Master, based on the entered Employee ID.
HR: System derived from the HR Employee Master, based on the entered Employee ID.
PY: System derived from the HR Employee Master, based on the entered Employee ID.
Education
Use the Education tab to track degrees an employee has attained or is in the process of attaining.
Degree: Indicates the degree earned or being earned by the employee. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of DEGREE_CODE.
Pending: Indicates if the degree is pending.
Issue Date: Indicates the date the degree was issued or awarded.
Major: Indicates a major code. If you select 00, you must manually enter the description in the description field. If you select any other code, that code's description appears and is saved in the description field. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of MAJOR_CODE.
Minor: Indicates a minor code. If you select 00, you must manually enter the description in the description field. If you select any other code, that code's description appears and is saved in the description field. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of MINOR_CODE.
Institution: Indicates an institution code. If you select 00, you must manually enter the description in the description field. If you select any other code, that code's description appears and is saved in the description field. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of INSTITUTION_CODE.
Type: Indicates the type of course unit system: S - semester or Q - quarter.
Credits: Indicates the number of credits earned toward the degree or educational goal.
GPA: Indicates the GPA associated with the degree entry.
Misc 1-5: Indicates any miscellaneous information.
Action: Indicates the action or purpose for entering or modifying a record. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of ACTION_CODE.
Notes: Indicates any notes associated with the entry.
Continuing Education
Course Units Tab
Course Information
Fiscal Year: Indicates the fiscal year. In Add mode, the fiscal year defaults to what is defined in the HR System Set Up (HRRQSS) page, Fiscal Year field.
Course Dt: Indicates the course date. It may be an actual date or a time-frame such as "Spring 2014". If an actual date is entered, the format of MM/DD/YYYY should be used.
Type: Indicates the type of costs associated with the training. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of EDUC_DISCIPLINE.
Course No: Indicates the course number. Codes are defined in the HR Course Codes (HRTBCT) page under the Screen Filter of UNIT. Course numbers can be used on this page or on the NCLB Requirements (HRNCRQ) page.
Alt Course: Alternate course, if applicable.
Desc: Indicates a manually entered description of the course.
Internal/External: Indicates if the course is an internal (I) or external (E) course. Possible values are restricted to those defined in static codes.
Unit Tp: Indicates the unit type. Possible values are restricted to those defined in static codes and include:
H - Hour
Q - Quarter
S - Semester
Units/Hours: Indicates the course units.
Conversion Cd: This field controls how the Units/Hours field is converted into units in the Units Accepted field. For example, if the Units/Hours field contains semester units and the Units Accepted field is to contain quarter units then a Q would be entered in the Conversion Cd field.
There are nine preset Unit Type/Conversion Code combinations and five user-definable Conversion Code options. The user-defined options are entered in the numeric values field in common codes under category CRSE, with code UNITS (where Tp=Q and Cnv=S will calculate accepted credits using the formula Unit/Hr* .06667=Accepted (10*.06667=6.67)). Following is a complete table of the preset combinations:

Units Accepted: Indicates the total number of units accepted. The value will be compiled by the system based on the unit type. If Q it will be course units * 2/3; if S it will be course units; if H it will be course units/15. The derived value may be overridden.
Units Accepted 2: Indicates another total number of units accepted. The value must be entered and is not considered in any page calculations.
Grade: Indicates the course grade.
L/T Code: Indicates if a letter (L) or transcript (T) was provided as notification of the units. Possible values are restricted to those defined in static codes.
Institute: Indicates the institution code and description. If you select 00, you should manually enter the description in the description field. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of INSTITUTION_CODE.
Applied Dt: Indicates the date the course was applied to the employee record. This could result in a salary index grade change, for instance.
Cut Off Dt: Indicates the unit cutoff date, which is essentially the last day units can be accepted and applied to the listed salary index.
As of Dt: Indicates the date for consideration for the unique index value. The As of Date field is used with the drop-down list validation on the index field, to ensure only valid indexes are displayed. It defaults to the current date.
Index: Indicates the salary index to be associated with the grouping of course units. Codes are defined in the HR Salary Definitions (HRTBSL) page based upon effective dates surrounding the record as of date.
Applied: Indicates how the units will affect an employee's salary. Possible values are restricted to those defined in static codes and include:
AP - Apply to Current Salary
MV - Move schedule/range/step
NA - Not Applicable
Fiscal Year Totals
Target Fiscal Year: Indicates the fiscal year associated with the records. In Add mode, the fiscal year defaults to what is defined in the HR System Set Up (HRRQSS) page, Fiscal Year field.
FY Accepted/Pending: System-derived. Represents the fiscal year total of units from Accepted Units 1.
All FY Accepted/Pending: System-derived. Represents the total units from Accepted Units 1 for all years.
Miscellaneous Information
Misc: Fields for storage of miscellaneous information.
4/Pend: Enter a P if the record data is pending.
Status Information
Action: Indicates the action or purpose for entering or modifying a record. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of ACTION_CODE.
Notes: Indicates any notes associated with the entry.
Training Tab
The Training tab is used to track miscellaneous types of training and course information an employee has accumulated.
Training Information
Training CD: Indicates the type of training received. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of TRAINING_TYPE.
Completed: A checkbox that indicates if the employee completed the training.
Passed: A checkbox that indicates if the employee passed the training.
Training Dt: Indicates the date of the training.
Start Time: Indicates the time the training started.
StopTime: Indicates the time the training ended.
Expiration Dt: Indicates an expiration date of the training, if applicable.
Next Trng Dt: Indicates the date of the next occurrence of the training, if applicable.
Training Logistics
Location Cd: Indicates the location type code (for example internal or external). Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of TRAIN_LOC_CODE.
Location: The Location field is a data entry field to indicate the location of the training.
Instructor Cd: Indicates the instructor code (for example internal, external, or third-party). Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of INSTRUCTOR_CODE.
Instructor: Indicates the name of the person who facilitated the training.
Provider Cd: Stores the provider type code. (for example internal, external, or third-party). Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of PROVIDER_CODE.
Provider: Indicates the name of the organization that provided the training, if applicable.
Training Cost
Cost Type 1-4: These four fields are used to indicate the type of costs associated with the training. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of COST_TYPE.
Amount 1-4: These four field are used to indicate the amounts associated with each cost type.
Miscellaneous Information
Misc 1-5: Five miscellaneous character fields.
Misc Value 1-5: Five miscellaneous value fields.
Misc Dt 1-5: Five miscellaneous date fields.
Status Information
Action: Indicates the action or purpose for entering or modifying a record. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of ACTION_CODE.
Notes: Indicates any notes.
Tuition Tab
Use the Tuition tab to monitor tuition reimbursement. Records are stored by fiscal year. The benefit available amount is monitored by calculating the current expenses against the maximum reimbursement for the employee, for the given fiscal year, as defined in the HR System Set Up (HRRQSS) page, Maximum Reimbursement field.
Tuition Information
Course Category: Indicates the course category code. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of COURSE_CATEGORY.
Course Title: Indicates the course title.
Education Institute: Indicates the educational institution where the course was taken. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of INSTITUTION_CODE.
Institute Description: Institution description. If you enter an Education Institute code of 00, you may manually enter a description in this field. If you enter a code other than 00, the description matches the Education Institute code.
Course End Dt: Indicates when the course ended.
Course Grade: Indicates the grade received.
Submit Dt: Indicates the request submission date.
Check Request Dt: Indicates the date the tuition check was requested.
Taxed: Indicates whether the tuition reimbursement is taxed. Possible values are restricted to those defined in static codes. Valid options are:
NOTAX: Reimbursement is not taxed
TAX: Reimbursement is taxed
Fiscal Year Information
Fiscal Year: Indicates the fiscal year. In Add Mode, the fiscal year defaults to what is defined in the HR System Set Up (HRRQSS) page, Fiscal Year field.
Tuition: Indicates the tuition cost.
Books: Indicates the cost of books.
Other Cost: Indicates any additional costs.
Total Cost: Indicates the total cost.
Max Reimb: The fiscal year maximum reimbursement amount is system-derived from the HR System Set Up (HRRQSS) page, Maximum Reimbursement field.
Benefit Available: The fiscal year benefit available is system-derived based on all the records for the employee for the same fiscal year. The total costs are subtracted from the maximum reimbursement amount.
Miscellaneous Information
Misc 1-5: Indicates any miscellaneous information. The first two are character, the next two are numeric, and the last is a date field.
Action: Indicates the action or purpose for entering or modifying a record. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of ACTION_CODE.
Notes: Indicates any notes associated with the entry.
License/Certifications
Use the License/Certifications tab to track miscellaneous types of certifications and licenses such as a driver's license.
License/Certification Information
License/Cert Type: Indicates the type of license or certification held. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of LICN/CERT_TYPE.
Issue Dt: Indicates the issue date of the license or certification.
Expiration Dt: Indicates the expiration date of the license or certificate.
Registration State: Indicates the state code of registration. Codes are defined in the NU Common Codes (NUUPCD) page, under the Code Category/Value of PEST/xx and where xx contains a two-character state code.
License No: Indicates the license number.
Registration ID: A registration ID officially identifies the document held by the employee and may be used for tracking purposes in case of a question, error, etc.
Verification Dt: Indicates the date the license or certificate was verified.
SPECIAL FIELD 1-3 (field labels): These three fields can display client specific labels. HR Non-Entity Specific Codes (HRTBHR), Code ID = LICNCERT_SPECFLD, Code Value SPEC_FLD1 or SPEC_FLD2, or SPEC_FLD3 can be used. The desired field description is entered into the Short Description field.
SPECIAL FIELD 1-3: Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of LICNCERT_SPEC1, LICNCERT_SPEC2, and LICNCERT_SPEC3.
Satisfies Federal NCLB Requirement: Indicates if the license or certificate satisfies a Federal NCLB Requirement.
Miscellaneous Information
Misc 1-8: Eight fields for storage of miscellaneous information.

Skills
Skills Information
Skill: Indicates a skill possessed by the employee, for example 10KY = 10 Key Trained or BILG = bilingual. Codes are defined in the HR Non-Entity Specific (HRTBHR) page under the Code ID of SKILL_CODE.
Expr: Indicates if the skill is derived through experience.
Edu: Indicates if the skill is derived through education.
Status Information
Action: Indicates the action or purpose for entering or modifying a record. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of ACTION_CODE.
Notes: Indicates any notes associated with the entry.
Experience
The Experience tab is used to track years of experience from both internal and external sources. Totals are displayed for all records based on specific Add Codes.
Experience Tab
Experience Information
Experience Tp: Indicates the type of experience to be recorded. Codes are defined in the HR Entity Specific Codes (HRTBCE) page under the Code ID of EXPERIENCE_CODE, where Entity matches.
Add Cd: Indicates how the line item is to add to the total field. Possible values are restricted to those defined in static codes and include:
CEDT - Certificated/In District
CEPE - Certificated/Previous Experience
CERT - Certificated
CITY - City (Not Included in Totals)
CLAS - Classified
CLDT - Classified/In District
CLPE - Classified/Previous Experience
OCCU - Occupation (Not Included in Totals)
OTHR - Other (Not Included in Totals)
Applied Dt: Indicates the applied date. If system calculating is to be performed, using the recalculate tool, a date must exist in this field.
Pre-Emp Yrs: Indicates the number of pre-employment years.
In-House Yrs: Indicates the number of in-house years.
Dates
Begin Dt 1 and End Dt 1/Begin Dt 2 and End Dt 2: Indicates begin and end dates. Two sets of dates can be recorded.
Values
Misc Values 1-5: Indicates miscellaneous values. Fields 1-3 are two decimal places and 4-5 are five decimal places.
Total Values
Total Values 1-5: Indicates the totals for all the associated Value miscellaneous fields, of all the records, for the employee.
Record Totals
Certificated: Certificated – system-derived. Displays the total years of experience based on values in the In-House Yrs column for Add Cd of CERT and CEDT and values in the Pre-Emp Yrs column for Add Cd of CERT and CEPE.
Classified: Classified – system-derived. Displays the total years of experience based on values in the In-House Yrs column for Add Cd of CLAS and CLDT and values in the Pre-Emp Yrs column for Add Cd of CLAS and CLPE.
Grand: System-derived. Displays the total years of experience for all entries in the In-House Yrs and Pre-Emp Yrs columns.
In-House: System-derived. Displays the total years of experience for all entries in the In-House Yrs column. The page utility, accessible via the Tools area in the page margin, calculates the In-House Yrs years of experience for all the employee's records in the database. It bases the calculation on the formula TODAY - applied date.
Miscellaneous Information
Misc 1-3: Three fields (eight character, four character and one character) used to indicate miscellaneous experience information.
Status Information
Action: Indicates the action or purpose for entering or modifying a record. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of ACTION_CODE.
Notes: Indicates any notes associated with the entry.
Work History Tab
Employer Information
Employer: Employer's name.
Address: Employer's address.
City: System derived based on zip code. The derived value may be overridden by typing into the field.
State: Indicates the state code. This value is derived based on the zip code but may be overridden. Codes are defined in NU Common Codes Category/Value of PEXT/xx and where XX contains a two-character state code.
Zip: Indicates the employee's zip code. Based on the zip code, the system will derive the city, and state information. The NU Common Codes Category/Value of HRZP/ZIPCODE, Short Desc= OFF, will disable zip code validation on Work History tabs of HREMES, HREEES, HRAPAD, and HRATAM pages.
Zip Extension: Indicates the zip code extension, if available.
Phone: Indicates the phone number.
Phone Extension: Indicates the phone extension, if available.
Position Information
Position Held: Indicates the position held with the employer.
Employed Begin Dt and Employed End Dt: Indicates the period of employment with the employer.
Reason For Leaving: Indicates the reason for leaving. Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of REASON_FOR_LEAVE.
Supervisor: Indicates the reporting manager with the employer.
Type: Indicates the area of profession held by the employee (for example Engineering or Teaching). Codes are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of WORK_TYPE.
Full or Part Time: Indicates if the employment with the previous employer was on a full (F) or part time (P) basis. Possible values are restricted to those defined in static codes.
Last Annual Salary: The last annual salary drawn.
Job Description: A description of the job performed. The maximum is 156 characters.

Misc 1-4: Additional Information to be stored.
Status Information

Tools
Tools for Course Units – Recalc Course Units
This tool will recalculate the Units Accepted value on all records in the selection criteria.
Tools Experience – Global Re-Calc In-House Years Utility
This tool recalculates the "In-House Yrs" on all records in the selection criteria that have an Applied Date and where the HR Employee Master PY Status = "A". After a recalculation is performed, the updated record totals can be seen by saving the record.
The calculation performed is: In-House Years = (Effective End #1 – Applied Date) / 365
If there is no Effective End #1 then the current date is used.
