Employee Information

Personal Information

On the Personal Information card of the Employee page, employees may review and update information such as address, email, phone numbers, and race.

Employee Online settings, Employee Settings, Personal Information card, can be used to control whether specific fields such as Email and/or Private Email are read-only.

The Personal Information fields map to the hr_empmstr, hr_emp_race, and hr_addrwloc tables and can be displayed on the HR Employee Master (HREMEN) and HR Personal Information (HREMPR) pages.

The City and State fields work in conjunction with the Zip Code field. After entering a zip code and tabbing from the field, the City and State are populated from the PE Zip Code Translation (PEUPZP) page. The City defined with the zip code becomes the default. Cities listed in the PEUPZP Acceptable City Names grid populate the drop-down list and may be used instead of the default.

The Primary Race field updates the HREMEN, EEO Primary Race field. Additional Races grid entries update the HREMEN Additional Races grid. Duplicate entries between the Primary Race and the Additional Races grid or within the grid are not allowed.

The first Phone Code and Phone Number fields are required (excluding extension). If a second, third, or fourth phone number is entered, they must have an associated phone code (defined in common code PEPH/XX). In the Additional Phone Numbers section, Phone 5 and 6 fields have no formatting and can be used to store international phone numbers. All Additional Phone fields update hr_addrloc table for the PM address type (HREMPR > Additional Addresses > Phone Numbers).

Emergency Contact

Employees maintain the people to be contacted in the event of an emergency. The Emergency Contact card displays the employee's emergency contacts. The primary emergency contact is indicated by the Primary Contact checkbox. If one is already selected and a different record gets selected, the system resets and clears the first record.

The Emergency Contact card maps to the hr_emerinfo table, displayed in the Emergency tab of the HREMEN or HREMPR pages.

Name, Relationship, and one Phone Number are required for each contact.

Family Information

The Family Information card displays the employee's family members. The card maps to the hr_family table, displayed on the HR Benefits (HRPYBE) page, Dependent/Beneficiary tab.

The Family Member card allows the employee to add, update, or delete information related to family members. When a family member is deleted through Employee Online, if the record exists only in the HR Dependent/Beneficiary page (hr_family table) and NOT in the HR Dependent/Beneficiary Assignments page (hr_depdbenf table), the family record is deleted from HR. If the record exists in the HR Dependent/Beneficiary page and is associated with a record in the HR Dependent/Beneficiary Assignments page, the record is not deleted from HR Dependent/Beneficiary, but the Action Code is changed to EOC. Family records with an Action Code of EOC do not appear in EO.

If a social security number (SSN) is not provided, the employee's SSN will be concatenated with an index value and placed into a hidden column of the Dependent table (hr_family.concat_ssn). That column is then used in HR as a link for benefits. The common code HRPY/FAMILY determines whether the employee's SSN is placed into the family member SSN field or if it is left blank.

Name, First Name, Last Name, Relationship, and Date of Birth are required fields. The Name field is a read-only field. The entry is system-generated based on a concatenation of data in the format of: Last Name, space, Suffix, comma, First Name, space, Middle Name, or: Last Suffix, First Middle.
