Payroll Information
Introduction
The Pay Information page contains information related to taxes, direct deposit, and deferred compensation.
Tax Withholdings
The Tax Withholdings card maps data from HRPYPR, Taxes tab (hr_mandded table) and Additional tab (yr_addltax table). It allows the user to view and update both Federal and State (if applicable) tax data. Users can update their withholding elections and additional withholding amounts and dates.
After the user updates their tax withholdings, the record is changed to a PENDING status. The page becomes read-only; no additional changes can be made. After HR approves the changes in the HR Mandatory Assignments page, the record will become available for edits again in EO.
If the HR record Special Code 3 contains LOCK, the employee cannot update any of their FIT data. Message "Federal income tax record cannot be updated at this time" displays to the employee.
Federal Tax Withholding
Filing Status: Indicates the FIT filing status. This may or may not be the same as the employee's marital status. Code values are restricted to static system codes.
Record Status: Reflects the HR assignment status.
2(c) 2 Job Total: Holds the "2 Job Tax" option of W-4. This setting updates PYUPEM, Switch 30.
3 Dependent Amount Total: Enter the annual Dependent Amount total (Step 3 on W-4).
4(a) Other Income: Enter the annual amount for Other Income (Step 4a on W-4).
4(b) Deductions: Enter the annual Deductions amount (Step 4b on W-4).
4(c) Extra Withholding: Indicates the federal tax additional amount to be deducted, if applicable (Step 4c on W-4).
Extra Withholding End Date: Indicates the date the FIT additional amount assignment ends. The field will be blank if there is no Additional Withholding amount or default to 12/31/2050 if the amount is greater than 0.00.
State Tax Withholding
Filing Status: Indicates the SIT filing status. This value may or may not be the same as the employee's marital status. Code values are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of SIT_FILING_STAT.
Record Status: Indicates the CDH Status. Code values are defined in the HR Non-Entity Specific Codes (HRTBHR) page under the Code ID of CONT/DEDUC_STAT.
Exemptions: Indicates the number of allowances associated with the SIT assignment. Values 0 through 99 are valid unless restricted in Employee Online Settings, Payroll Settings, Tax Withholdings.
Extra Withholding: Indicates the additional amount value, if applicable.
Extra Withholding End Date: Indicates the date the SIT additional amount assignment ends. The field will be blank if there is no Additional Withholding amount or default to 12/31/2050 if the amount is greater than 0.00.
Optional Deductions
The Optional Deductions card maps from HRPYPR, Miscellaneous Payroll tab (hr_cdhassgn table). The CDH codes to display have been identified in the Employee Online Settings page. This page is added by clients in menu setup. View only.
An example of an optional deduction is Credit Union.
Deduction Description (Header Title) – The PYUPDD, Title for the deduction.
The other fields are self-explanatory.
Direct Deposit
The Direct Deposit card maps data from HRPYPR, Direct Deposit tab (hr_dirdep table). It allows the user to specify details for directly depositing all or part of their paycheck with a bank. This page requires a Bank ID, Account Number, Account Type, and Amount Type.
Direct deposits can be a flat amount, a percent, or net. NET represents the balance of one's paycheck. Multiple direct deposits can exist, based on EO Settings, but only one can be NET. The PY calculation codes related to Direct Deposit may need to be adjusted depending on how a site handles these types of deductions.
Depending on EO Direct Deposit settings, users can update/add/delete (close) records. Depending upon timing of deleting records, the HR record could end up with the Begin Date being after the End Date. Because of the relationship with PY records, this situation will require manual intervention by HR/PY staff to ensure continuity between the subsystems.
After a record is updated and saved, it will display in a [PENDING APPROVAL] status. Once HR approves the changes in HRPYPR the EO record will return to an [ACTIVE] status.
Bank: Indicates the Bank Name and Bank ID, otherwise referred to as the Transit Routing Number. Code values are defined in the HR Bank Routing Definitions (HRTBBK) page. The data appearing in the drop-down is filtered. The filter uses a “starts with” concept whereby the drop-down requires at least three characters be entered and those characters are matched to the beginning characters of the Bank Name in HRTBBK. For example, entering “BAN” displays all the bank names that start with “BAN” in the drop-down. Similarly, entering the first three digits of a routing number (Bank ID) displays all the bank names that start with the specified digits.
Account Number: Indicates the account number where the money from the direct deposit assignment is to be routed.
Account Type: Indicates whether the direct deposit will go into the employee's checking or savings account.
Amount Type: Specifies the type of deduction assignment (AMOUNT, NET, or PERCENT). Code values are restricted to static system codes.
Value: Indicates the direct deposit amount or percentage. If the amount type is NET, this field is not displayed. When percentage is selected, a two-digit number can be entered.
Checks in Month
First Check: Depending upon the employee's pay cycle, the available options will vary. Allows the employee to select from which pay checks the deduction is taken.
FAQ
How does EO know whether a direct deposit is a net, flat amount, or percent amount? EO looks for the Special Code field identified in EO Settings. That Special Code field on the employee's assignment is checked for a symbol. That symbol is then compared to the Allowed EFT Types in EO Settings. A match with a symbol tells the software if the assignment is a percent, net, or amount.
What additional data is sent to the HR Direct Deposit record? If a priority is listed in EO Settings then that information appears in Special Code 3.
Deferred Compensation
The Deferred Compensation card maps data from HRPYPR, Tax Sheltered Annuity tab (hr_tsainfo table). Because of eligibility requirements for these types of deductions this card does not allow records to be added or deleted, only updated. Common deferred compensation types include 457 and 401K savings plans.
After a record is updated and saved, it will display in a [PENDING APPROVAL] status. Once HR approves the changes in HRPYPR, the EO record will return to an [ACTIVE] status.
Plan: Name of the plan. Reads from the PY CDH Definition page, Title field.
Vendor: Indicates the Vendor associated with the entry.
Amount Type: Specifies the type (AMOUNT or PERCENT).
Value/Amount: Indicates the amount or percent of the deferred compensation assignment. If the Amount Type is AMOUNT, the field label will be "Amount." If the Amount Type is PERCENT, the field label will be "Value."
The PERCENT Value is limited to what is established in EO Settings.
