Payroll Settings in EO
Use the Payroll Settings page to determine what information appears and if employees can make edits.
Tax Withholdings
Field | Description or Use |
---|---|
Read Only | When selected, the entire Tax Withholdings card on the Payroll Information page is read only for all employees. |
Restrict by Employee Type | Select this option to make the entire Tax Withholdings card read only for specific employee types. When selected, all the employee types defined in the HR Entity Specific Codes (HRTBCE) page, Code ID EMPLOYEE_TYPE, will display. The associated entity code is shown in parentheses. Select the types that are to be restricted. When an employee with one of the identified types logs into EO and clicks the Tax Withholdings link, the page displays a message indicating that they cannot edit the information, and the page is read only. Employees who are not one of the identified types will be able to edit tax withholding data. |
Disable State Tax | Select this is state taxes are not being used. This clears the Max State Exemptions field and makes it inactive. The State Tax Withholding card will not appear for employees. |
Max Federal Exemptions | Enter a number to represent the maximum number of federal exemptions an employee is allowed to enter. Accepted values are between 1 and 99. |
FIT Additional Amount End Date | This is only used for FIT exempt status. Enter an end date in MM/DD format for FIT additional amount. The year is determined by comparing the date entered to today's month and day.

Max State Exemptions | Enter a number to represent the maximum number of state exemptions an employee is allowed to enter. Accepted values are 1 - 99. |
Exclude FIT Filing Codes | When selected, a list of system-defined FIT filing codes appears. Select which FIT status codes should not appear in the FIT Filing Status menu. |
Exclude Exemptions | Select to hide the Exemptions field in the State Tax Withholding card. |

Optional Deductions
Field | Description or Use |

CDH Code | A list of client-defined deductions from the Deduction Definition (PYUPDD) page where Relate To Code #8 = MISC. The CDH number and the Title will appear. |

Direct Deposit
Field | Description or Use |
---|---|
Read Only | When selected, the entire Direct Deposit card on the Payroll Information page is read only for all employees. |
EFT CDH Range | Enter the range of valid PY Direct Deposit deduction numbers. Accepted values are between 2001 and 2999. Defining only one CDH for direct deposits could result in difficulties for employees using Employee Online. |
Max Active Deposits | Enter a maximum number of active direct deposit assignments allowed for one employee at a given time. If an employee is allowed only one direct deposit record at a time AND the CDH range indicates only one CDH is defined in Payroll, an employee cannot close or delete one direct deposit and add another one. They need to make all changes in the existing direct deposit assignment. When the record is saved, the HR record is updated with the new information including a new begin date. The same CDH record in Payroll receives an end date of one day prior to the new begin date and a new record, with the new information, is created. |
Status Code | Enter the default status code for new direct deposit assignments. |
Hide Check Choice | Select to inactivate the Checks in Month section of the direct deposit assignment. Assignments are active for every check issued. |
Special Code | Select the special code for the Percent / Amount / Net symbol that will be written to the assignment record. If NET direct deposit data is being processed to Person Entity (PE), use Special Code 1 because the HR page requires it. |
Display Last X Account Number Digits | Enter the number of trailing digits of the account number displays on the direct deposit page. |
Allowed EFT Types | Select at least one EFT type. Amount, Net, and Percent Symbol fields should correspond to your payroll direct deposit calc codes. Review your district's Direct Deposit setup before setting these values.
The Symbol will transfer to the HRPYPR, Direct Deposit record and appear in the special code designated in the earlier setting. If a priority is set then it will appear in Special Code 3 of the HR record. |
Require Net | Select to require an employee to have a net direct deposit deduction. If selected, an employee cannot delete an existing NET record. The employee needs to edit the existing record to update account information. |
Value Representing 100 Percent | Select how the deduction percent or amount is represented in HR. If set to 100, a request for 50% will be recorded as 50 on the assignment. If set to 1, then 50% will appear as .5. |
Test EFT | If selected, the HR assignment has Test EFT selected when the record is saved. |

Deferred Compensation

Check Stub
Field | Description or Use |

Show Opt-Out from Paper Check Stubs | When selected, an option appears on the Check Stub page allowing employees to select to opt out of receiving paper check stubs. |
Opt-Out Statement | Optional: Enter a message here to override the default text on the Electronic Check Stub Election card on the Check Stub page when the opt-out button appears. |
Header Message | Optional: Enter a custom check stub message that will appear in the header. The message applies to all check stubs for all pay periods. It is an additional message and does not replace any message from the payroll program. |
Number of Checks to Display | Enter the maximum number of checks that will appear for an employee. |
Check Stub Display | Select what checks will appear for an employee on the Check Stub page.

Number of Days Prior | When DAYSPRIOR is selected from Check Stub Display, this field appears. Enter the number of days before the payroll date to display a check stub. For example, if the check date is on a Friday and you enter 2, the check stub will appear on Wednesday (2 days prior). |
Check Stub from Date | Enter a date to control how far back historically check stubs will appear. Only checks with a check date after this date (excluding future-dated checks) appear on the Check Stub page. Checks prior to this date do not appear, regardless of the Check Stub Display setting. This setting works in conjunction with the Check Stub Display settings as follows:

Choose File | Upload an image (for example, the district logo) to display on the check stub. Recommended image size is a 5.7 to 1 ratio for width and height. For example, 400 pixels wide and 70 pixels high. If the image or logo has equal height and width (square), place the logo on the left side of the image canvas and add blank/white space to create an image that follows the recommended dimensions. |
Show Wage Detail | Select to display a Wage Detail item in the Wages section of the Check Stub. When selected, a list of line item details appears. The items displayed represent the employee's payroll hours. By default, the Payroll (PY) Hour Definition (PYUPHH) record needs to have HOUR in Misc Code 7 to appear. To use a different PYUPHH Misc Code or Relate Code, set up common code PYEO/HOURCODE. The detail column headings are:

Show Check Message in Header | When selected, the header message appears. |
Hide Federal Tax Exemptions | Select to display only the filing status for Federal Withholding in the Taxes section of the check stub. The number of exemptions does not appear. If you do not select this option, Federal Withholding will display the status and number of exemptions in the format of Status/Exemptions. For example, if the filing status is M and exemptions are 2, if the option to hide is selected, M appears and if the option to hide is not selected, M/2 appears. |
