Selectively Change Units - SIUTCU
This utility is used to change the units in which an item carried in inventory is stocked. This interactive process, which changes one product at a time, can change the units in two ways.
Current Product ID: Enter the product ID that is to be changed. After entering the product ID, the current stock units will be displayed.
New Units: Enter the new units. The new units value must be defined in Common Codes using the PEUN category and must also contain the correct translation from the current units. The system will warn if the translations do not exist.
Which change would you like to perform? Enter the type of change that is to be performed.
- N – Name. This option directs the system to change the name of the units. This is useful if the product is currently stocked as "Quarts" and the name needs to be changed to "QTS."
- A – Amounts. This option allows the user to change the quantity of the units. For example, if the product is currently stocked in "GALLONS" and the quantity is to be changed to "QUARTS," the translation in the PEUN Common Code is used to change values of all receiving, demand, orders and history records to reflect the new units. In this example, this process would be accomplished by simply multiplying all quantities by four. All dollar amounts would remain the same, however the number of items received and shipped would increase by a factor of four. The system will also check for the existence of translation records set up by vendor. If any such records exist, the system will warn that all of these records will need to be changed before any activity occurs with the product. Failure to change these translations will cause corruption of data in subsequent transactions.
Caution must be used when translating items which result in a smaller value in stock. For example, changing "QUARTS" to "GALLONS" requires dividing the amounts in stock by four. If a transaction contains a value which is not evenly divisible by four, the amount will be rounded, and incorrect values will result.
This utility can cause serious corruption of data if misused. A complete backup of the inventory system is recommended before running this process. It is also recommended that only key personnel be allowed access to this utility.
