Hiring an Applicant

Data Transfer

When an applicant is marked as hired in the Applicant Tracking system, that data (demographic and applicable question responses) is transferred and stored in the Interface Hiring Information (RMUPHI) page.

The transferred data appears in the Stored Value section of the Interface Hiring page. Non-coded types of data appear in the New Value section. Since BusinessPlus uses codes and the Applicant Tracking system does not, the coded value fields in the New Value section will be blank or display Select a xxxxx (for example, Select a State). The user must replace these values with a coded value that sufficiently represents the transferred data.

Select Create Employee. Data is transferred to the appropriate HR tables to create the employee profile. All text transferred to the HR tables is set to upper case except for email addresses which are left as they were entered.

The Save and Create Employee buttons are inaccessible once an applicant has been hired. This prevents accidentally changing data or hiring the applicant more than once for the same position.

Special Situations

Special situations exist when an applicant is already an employee or if the PCN/Position on the posting is not yet defined in the HR PCN/Position Code Definitions (HRTBPC) page. Review Interface Hiring Information (RMUPHI) for more information.


Some required data is not available to be passed from RM to HR pages including HREMEN, HRPYPA, HRPYQP, and others. Users must visit all applicable HR pages to ensure the new employee's data is accurate and complete.

HREMEN - Additional required fields include HR Status, PY Status, Check Dist, Periods Paid, Periods, Worked, Days Worked, Date of Birth.

When the Approval field on HREMEN is set to SEND, the new employee record is submitted to the Payroll subsystem.
