Administrative Console - WF
The Administrative Console can be used to perform higher-level functions for user and group management. These functions include:
- Security Access
- Group and User Management
- Database Administrations
- Workflow Management
- Workflow Job Management
Manage Users
The Administrative Console provides the system administrator the capability to manage user profiles (Security Admin > Setup > Manage Users). This includes but is not limited to enabling users for Workflow, control settings for job management, and manage out of office settings.
To provide Workflow access to a user:
- Locate the user's BusinessPlus record by either using the search tool or selecting the user from the entity list in the Manager Users section.
- Set "Workflow Enable" to Y.
- A valid email address is needed for Workflow models that require Email (Response Required) Denials or Approvals.
- On the Associations tab, assign the WFDUPDT association (defined in common code NUAS/WFDUPDT). The Value field should say "Yes" to activate the association. Workflow Designer is read only without this association.
- Set Line Printers/Form Printers to Workflow.
- Check the following options: Allow User to Schedule Jobs, Allow Interactive Jobs, Allow Override of Job Queue.
Workflow Enable
The Workflow Enable field in the Manage Users plugin determines whether the currently loaded BusinessPlus User ID is Workflow-enabled and at which level of assignment. The field is not required. The default value is "N" if this field is not populated.
The following options are available:
- (A) Administrator — Has permissions for all Workflow capabilities. An administrator can be assigned to a Workflow group, receive forwarded Workflow task list Items, and can approve, delete, and forward task list items.
- (D) Delegate Only — The user can be forwarded a task list item from the BusinessPlus Task List page. However, the user cannot be assigned an activity already pending action (i.e., task list Item, email response, etc.).
- (N) No Participation — The BusinessPlus User ID is not Workflow-enabled. The user cannot be assigned an Activity (i.e., task list Item, email response, etc.). It also means the user cannot be forwarded a task list item from the BusinessPlus Task List page.
- (W) Workflow Only — The user can be assigned an Activity Action (i.e., task list Item, email response, etc.), but the user cannot be forwarded a task list item from the Workflow Task List BusinessPlus page.
- (Y) Workflow and Delegate — The user can be directly assigned an Activity Action (i.e., task list Item, email response, etc.) and forwarded a task list item from the BusinessPlus Task List page.
Out of Office
The Out of Office flag indicates a defined Workflow user is not available to take any Activity Actions. The only exception is when an Activity Action assignment is explicitly set to the User ID (User selected in the "Who" section in the Workflow Activity Properties window) or there is no one else in the Workflow Role to be assigned.
Out of Office can be set from the Administrative Console or from the BusinessPlus dashboard in the Task List component.
Manage Workflow Groups
Workflow groups are sets of Workflow-enabled User IDs that allow the Workflow engine to assign task list items based on the Workflow Group definition (Security Admin > Setup > Manage Workflow Groups). A BusinessPlus user is allocated to the list of authorized users under the Workflow group role, then aligned to either be a primary or a backup user. The user who is set first in the list of the Workflow role is primary, and any user selected after the primary would be designated a backup. The user group priority can also be defined by "N" priority within the group or "Y" Round Robin option.
