Import Security
The Import Security plugin in the Administrative Console (Security Admin > Setup) is used to load a file of role-based security data into an account. It must be noted that an exact match is necessary on both the us_id (the user's ID) and the us_no (internal ID number kept on the us_no_mstr) columns before the import of roles takes place. Any new users created in the source account and loaded into the export file will not be loaded into the target (receiving) account. A role assigned to this user will be loaded into the target account but will not be assigned to a user.
The Import Security utility allows import of all roles, or a selected set of roles that was previously exported. It loads the roles from an archived file (zip file) and allows the user to select from that list. The process can be used to move security roles from test to production or simply to restore security roles that were previously archived.
On the Import Security page, select "Open Import File" from the "Select Roles" drop-down to select the archive file for import. An Open file dialog displays. Select the archive and click Open.
The file is opened (unzipped) to a temp folder in the directory the archive resides, and its roles are displayed. By default, all roles in the archive are selected (with a check box). Select which roles from the archive to import.
File menu options under "Select Roles," are:
- Select All Roles — Selects all the roles in the archive.
- Unselect All Roles — Unchecks all roles.
- Remove All Roles — Clears the list of roles; the user must select another archive.
If the user opens another archive with a list of roles already selected, the role list will be just that of the new archive. Archives can only be imported one at a time.
Importing Roles
There are three settings that apply to the import role process:
- Trial Run: The process will run in report-mode only, no updates will be made. This is the default mode. The job output can be viewed to check for errors or import issues that need to be resolved before the utility is run in live mode.
- Overwrite existing entries: If this box is checked and a role already exists in the system, it will be overwritten. Leave this unchecked if existing roles should not be updated.
- Import roles with errors: If this is checked and an error is encountered on the role, it will still be imported. E.g., problems such as security objects that are in the export system that do not match the import system. These types of errors are shown in the job output in red.
Once the archive is opened and the roles for import selected, press the Import button on the top toolbar. When the job completes, the Jobs panel on the left will be updated. Expand the + sign next to the job number, then double-click the job labeled "Import Security Roles" to review the job information.
