Workflow Task List - Web Forms
Task List Description
Each request becomes a task that is assigned a task list description. The description helps approvers locate the individual request on the Workflow Task List page. The description is made up of the Model/Version and Pending Tasks. The model states which Web Form created the request. Each model may have one or multiple pending tasks. Tasks are presented to an approver after the requestor clicks the Submit button on a Web Form.
All Pending Tasks
Each model's pending tasks are unique. Therefore, pending tasks will be revisited within each Web Form. All pending tasks are found below the Model/Version.
Common attributes of pending tasks:
- The approver may process all pending tasks as a group or by checking the box of each task to approve, reject, or forward. A task may also be approved in the History section (upper right panel).
- The selected task is formatted as bright blue, bold text with details for the task displayed in the Request Summary, lower right panel.
- Tasks may be sorted and grouped according to user preference.
Request Summary
The request summary is located in the lower right portion of the Task List page. It displays the content of a Web Form Request. The information corresponds with the selected pending task (highlighted and bold in blue in the "All Pending Tasks" area).
Task List Actions
Approvers can review a task, attachments, and approve, reject or forward a task list item. Possible actions are as follows.
Approve Task List Item:The approver can approve a task list item by clicking the green check mark. Approvers can add notes to the approval as desired. After selecting the "Submit" button, the resulting Workflow task list activity will be marked as approved (successful) and the request will be marked for additional processing. When the Workflow engine wakes up and processes the request, it will continue the processing path.
Reject Task List Item: The approver can reject a task list item by clicking the red X. Approvers can add notes to the rejection as needed. The resulting Workflow task list activity for the selected request will be marked as rejected (not successful) and the request will be marked for additional processing. When the Workflow engine wakes up and processes the request, it will transfer processing to the rejection handler.
Forward Task List Item: The approver can forward the task list item for special approval that is an exception to the rule. A task list item can be forwarded as a task list to anyone who is defined as Workflow-enabled in the BusinessPlus User Definition (Administrative Console). After clicking the forward button, the approver is provided a list of eligible BusinessPlus IDs.
Users can use the checkbox at the bottom of the list to indicate whether this forwarding is a "reassignment" or a "delegate."
- Reassignment: A reassignment is approved or rejected by the BusinessPlus ID that received the task list item. However, once the action is taken, the task does not return to the originator for an additional approval.
- Delegate: A forwarding that is a delegate returns to the originator if approved by the reassigned approver. If rejected, it does not return, and processing is captured by the rejection handler.
Link: Approvers can link back to the original form when the "Link" button is clicked. The Web Form is rendered with the request information in Update mode. Approvers can review and make any necessary changes to the form and then re-submit the data. The approver can return to the task list, refresh the form and see the updated data.
Attachment(s): Click the attachment to open and/or save. Once an attachment is submitted with a Web Form, the document(s) will remain in Documents Online. Whether the request is rejected, or the user thinks he/she removed the document(s) in Update mode, the attachments remain accessible through BusinessPlus Administrative Console.
