Processing Checklist - 2019

The following steps outline the general process. Note that PowerSchool can assist you through steps 6-7 via Distance Learning sessions and seminars.

1. Order your ELF forms (if using ELF) by filling out the 2019 Year-End BusinessPlus Request form.

2. Order your paper (pre-printed or blank if using ELF). This year's supported W-2, 1099, and 1095 forms can be ordered from one of the following providers:

3. Finalize which printer you will use for paper copies. When choosing the printer for generating 1099s and W-2s, be sure to choose one that is PCL 5 compatible. Then set the printer up in two places:

    • On your computer — The printer needs to be set up in your Control Panel > Devices and Printers. You need to be able to load the ELF form in this printer prior to running the job.
    • Common codes > Code Category of NULP — This enables you to select the printer from the drop-down list when running jobs in BusinessPlus. That is, when you are running PYW2PW, you need to see the printer on the list.

Typically, if a printer can print payroll checks, it can print W-2s, 1095-Cs, and 1099s. As a test, you could do a trial distribute and pay (PYTPDP) to the printer you are thinking of using to print W-2s, 1095-Cs, and 1099s. You may also need to access the App server to load Escape Sequence Files in some cases.

4. Install the Year-End Release.

    • Hosted/Cloud — If your BusinessPlus software is hosted by PowerSchool, this update will be installed for you. The PowerSchool Technical Solutions Group will notify you when the update is scheduled.
    • On-Premise — Customers hosting their own instance of BusinessPlus can download the update from PowerSource and perform the installation themselves when it becomes available on December 14, 2019. If customers hosting their own instance of BusinessPlus would like PowerSchool to perform the 2019 Year-End update on their behalf, contact the PowerSchool Technical Solutions Group at tsghelpdesk@powerschool.com for information concerning scope, cost, and availability of services.
    • Enterprise Management Service (EMS) — On-premise BusinessPlus instances managed by the Technical Solutions Group's EMS offering receive all updates according to the schedule of their choosing. EMS clients selecting to have updates applied automatically will be contacted by TSG once the date is scheduled for their update. EMS clients that have selected an on-demand basis for their updates must fill out a BusinessPlus Update Request form to request the update.

If you are on a software version that is not supported in this release, you can request a custom backport by filling out the 2019 Year-End BusinessPlus Request form.

5. Download PNG files from PowerSource (to post W-2s and 1095-Cs to EO, and 1099s to VO).

6. Update your description files for W-2s and 1099s and start processing.

7. Run through ACA reporting and start processing.
