HR Integration Process
One important aspect of the Professional Development module is its integration with the HR module to track relevant participant information. As employees register and participate in courses, the information can be merged with the Training and Course Unit information tracked in HR.
The integration is accomplished by using the Move Course Details tool in the HRPD Course Definition Page (HRPDUPCD). Near the bottom of the page there is a drop-down selection titled "HR Integration Type." Three choices are available: "<NONE>", "CRSEUNIT" or "TRAINING."
The entry dictates to which tab in the HR Education and Skills page the course details will be sent. If the value is set to <NONE>, no integration will take place.
When the value is set to TRAINING, participant course training information is integrated with the Training tab of the Education and Skills (HREMES/HREEES) page. If the value is set to CRSEUNIT, the training information is integrated with the Course Unit tab of the Education and Skill page.
Training Tab
When the value for the HR Integration field is set to TRAINING, participant course training information is integrated with the Training tab of the HR Education and Skills (HREMES) page.
The Professional Development Training information is integrated in the following way:
- Records are inserted with an Action field code of PDC.
- The course name is automatically added to the Training Cd field.
- If the participant has completed the course, the "Completed" box is checked. If participant status was IN (incomplete), the "Completed" box is unchecked.
- If the participant achieved a passing grade, the "Passed" box is checked.
- The Course End Date is applied to the Training Dt field.
- Course Location is mapped to the Location field.
- Course Instructor/Facilitator is mapped to Instructor.
- Course Title is mapped to Instructor Notes.
Course Units Tab
When the value for the HR Integration field is set to CRSEUNIT (HR Course Unit), participant course training information is integrated with the Course Units tab of the HR Education and Skills page.
The Professional Development Course Unit information is integrated in the following way:
- Action code = "PDC."
- Course Fiscal Year is mapped to Fiscal Year.
- The Course End Date is applied to Course Date.
- Internal/External = "I" unless PDHR/CRSEUNIT common code, Associated Codes #1 is defined
- The Credit Type is mapped to Type.
- Depending on common code settings (see common code PDHR/CRSEUNIT), Course Name is automatically added to the Course No; alternatively, Course Name is mapped to Alt Course.
- The Course ID is mapped to Desc.
- Unit Type = "H."
- Credits is mapped to Unit/Hours.
- Conversion Cd = "H."
- Units Accepted = Units/Hours.
- Course Definition, Course Credits tab, Credit Granting Institution = Institute and Description (Note: PD stores codes in HRTBHR, Code ID: CREDITS_INST while HR stores Institution codes in HRTBHR, Code ID: INSTITUTION_CODE. To avoid errors on the HR record, the PD institution needs to exist in the HR institution code list)
- Participant Grade is mapped to Grade.
- Course Title is mapped to Notes.
- Default values can be set for Internal/External, Institute code, and Institute Description, under common code PDHR/CRSEUNIT.
