Recurring Transactions - ARUPEEAR
The Accounts Receivable (AR) Recurring Transactions (ARUPEEAR) page is used to analyze the transactions for each Account ID (AR customer) and create new transactions based on computations of account transaction history. These new transactions can apply to the original AR account or to another AR account. If the new transactions apply to another AR account, an offsetting entry can automatically be made to the original AR account.
Recurring Transactions can also be used to create AR, CR, or OH Set files. The OH Set can be created to generate refunds on accounts. Common uses of recurrent transactions are Late Fees and Service Charges.
After setting up the Recurring Transactions page, it is a matter of running the process AR Create Set from Auto AR (ARSPAR) to generate an AR Set of the recurring charges. Once the new Set has been created, it may be processed as any other Set.
Recurring ID: Enter a unique identifier, up to 12 characters, for this specific recurrent transaction. This is the code identifier to be used when running AR Create Set from Auto AR (ARSPAR) page.
Description: Enter up to a 30-character description of the recurrent transaction.
Status: A – Active, or I – Inactive. Inactive recurrent transactions cannot be processed.
Ledger: This echo field displays the general ledger code of this recurrent transaction and the subsequent account activity. The JL ledger is not shown on the page. The GL/JL ledger codes are derived from the codes active when the Recurring ID is first defined. When creating a new Recurring ID, ledger codes can be changed using the Settings>Ledger option in the top right corner of the page. Existing Recurring ID definitions will not be affected by changing ledger codes but existing Recurring ID definitions copied and then pasted in ADD mode will display the new general ledger code association.
Sel Class: The Selection Class to be used for selecting Account IDs that may qualify for the recurring AR transaction. Selection Class codes are defined in the AR Selection Class Definition (ARUPEESC) page.
Calculation: A list of Selection Classes separated by the arithmetic operators "+" and "-". Each Selection Class should identify certain subsets of the AR activity to be processed. For example, "CHARGE-PAYMENT" will calculate a total amount based on those transactions that meet the criteria specified by the Selection Class of "CHARGE" minus the total amount based on those transactions that meet the criteria specified by the Selection Class of "PAYMENT". In the event that a constant needs to be entered into the calculation, enter it as follows: CHARGE-1400-PAYMENT.
Trn Class: The Selection Class to be used for this recurrent transaction. This field is intended to add another level of Transaction Selection Criteria to relieve the calculation selection classes of redundant information (i.e., transactions must pass transaction class selection criteria prior to being used in the calculation).
Calc Level: Used to specify the level at which the calculation is to be made. If blank, the level is Account ID; thus, a single calculation is performed for each Account ID selected. Valid options are ACCT, DIV, TERM, or INV.
Calc Amt Cri: Numeric range to be used for comparison with the amount that was derived in the calculation field. If the resultant calculation amount does not match the selection criteria given in this field, no entry will be created for the current Calc Level being processed. This comparison is done prior to the percent/min/max adjustments.
Percent: Either a positive or negative numeric value (with a maximum of three decimals) that is multiplied against the result of the Calculation field to derive the amount of the transaction.
Minimum: If the result of the percentage calculation is below the number entered in this field, the transaction amount is set to the number specified in this field. The minimum field can also use a Selection Class to derive its values by placing an "!" prior to the Selection Class name in the field.
Maximum: If the result of the percentage calculation is above the number entered in this field, the transaction amount is set to the number specified in this field. The maximum field can also use a Selection Class to derive its values by placing an "!" prior to the Selection Class name in the field.
Round Method: Select the code that indicates the method of rounding: U – Up, D – Down, or N – Nearest.
Round to nearest: A numeric value with two decimal positions that indicates the minimum rounding calculation for the resultant transaction amount.
Transaction Posting
Output to: Select the Set type this transaction is to create: ARBATCH, APBATCH, or CRBATCH. For example, an AP Set might be created for refunds. Optionally, used for entering Named-Totals: "=name" where "name" is the character identifier.
Finance Code: If applicable, select the Finance Code. Finance Codes link other subsystems, or software other than BusinessPLUS, to the AR subsystem. AR Finance Codes are defined through the AR Code Definitions (ARUPCD) page, Finance tab.
Division: Select the Division Code to which the transactions are to be posted. AR Divisions are defined through AR Code Definitions (ARUPCD) page, Division tab. The recurrent transaction will use the transaction division selected if Calc Level field is set to DIV.
Account: Enter the general ledger account number (account string) to which this transaction will be posted. The recurrent transaction will use the transaction Account number entered if Calc Level field is set to ACCT.
Post Code: Enter the Posting Code that directs the automatic posting to the General Ledger. This is validated based upon the defined Posting Preferences. Posting preferences are typically set up by the chief accountant.
Misc Code: If applicable, select the Miscellaneous Code. AR Miscellaneous Codes are defined through the AR Code Definitions page, Misc tab.
Description: Up to 30 characters to describe the transaction. Enter \amt or \AMT for the calculation amount to appear in the description field. This description will be seen as the transaction description in AR reports.
Text ID: Enter the name of the Text ID to print for this recurrent AR. Generic Text is defined through the AR Free Form Text (ARUPEETX) page.
Enter Transfer PE ID: If this transaction should apply to a different Account ID than the one currently being analyzed, specify that Account ID (customer PE ID) in this field.
Create Offset?: Set flag to "Yes" (checked) if a transaction of an opposite amount should be posted to another account. Offsets are typically used to transfer an amount from one division or one account to another.
Division Code: Select the Division Code for the Offset.
Finance Code: Select the Finance Code for this Offset. AR Finance Codes are defined through the AR Code Definitions page, Finance tab.
Account: Enter the general ledger account string to post to for the Offset. This field is required if the Create Offset box is checked.
Post Code: Enter the Posting Code for the Offset.
Misc Code: Select the Miscellaneous Code. AR Miscellaneous Codes are defined through the AR Code Definitions page, Misc tab.
Desc: Up to 30 characters to describe this transaction. Enter \amt (or \AMT) for the calculation amount to appear in the description field. This description will be seen as the transaction description in AR reports.
