Undo AP Distribution

Data entry typically takes place in either the AP Create/Update OH Set (APOHBTUB) or AP Invoice Entry (APOHININ) pages. After distribution, the APOH records from both pages land into AP OH Direct Update (APOHUPTR) page. Once undistributed, the original record may be restored to its pre-distributed status, ready for updating and redistributing, or the user can select not to save the original details.

  • To undo the distribution/posting of the AP Invoices/Sets, select one of the following utilities:
  • Identify the BusinessPlus job number that was generated from the distribution of the Set. If job number is unknown, locate a set's job number within APOHUPTR or GLUTTR.
  • Test the undo process first by checking the "Is this a Trial Run?" box.
  • If needed, specify additional criteria under Options.
  • Review proofs to verify the utility will accurately process the right record selection and communicate potential errors. Trial mode accounts for which records will be impacted before impacting real data.
  • Before committing to undo postings or un-distribute data, consider if the original set will be saved or discarded. When the Trial Run question is set to NO, the user is offered the option ("Save 'UNDONE' Open Hold entries to a Set?") to save the undone record. When selecting to not save the undone record, the distribution of the original record will be undone, and the record(s) undone will return to the status to BE. When selecting to save the undone record, the distribution will be undone, but the record showing the original distribution will be preserved with status of DS and a new Set is created within APOHBTUB. The new Set will be a copy of the original ready to be updated and processed as usual.
  • If selected to save undone records, enter a Set name.

If the user desires to create a new set when undoing transactions that were originally created in AP Invoice Entry (APOHININ) page, the original transaction is preserved within AP Create/Update OH Set (APOHBTUB) page as a new set. There will not be a record of the distribution undone within APOHININ.

Records that were distributed using APOHINVP are typically not available for viewing within APOHININ after distribution unless the question "Save 'UNDONE' Open Hold entries to a Set?" is checked NO. In that case, the original, undistributed record is in a status of DS (since it is not paid), but is pending actions to distribute the payable.

Keep in mind that all distributed transactions will be visible within APOHUPTR unless specifically processed to not post to the AP system. Once either APOHUTUL or APOHUTUN is ran successfully, the distributed transaction will no longer be visible in APOHUPTR until records are completely redistributed, which will then have new job numbers.
