Documents Online Activity

Properties

Select Document from the Action drop-down, then the Settings button to open the Document Properties dialog.

Process Output: Select this option if this is a process-triggered model and the purpose of the Workflow model is to transfer the output from the process into Documents Online.
CDD Report: Select this option if the document to be created is the result of a CDD report activity in the model.
Name: If the CDD Report is selected, the name of the CDD Report is defined in this field. If no CDD Reports are defined for this model, then this field will be empty. If the option is set for a CDD Report, the user should verify that the CDD Report Activity is located upstream and on the same path as the Documents Online Activity or the activity will fail.
Do Not Discard: Select this option if there is no discard date to be entered for the resulting document.
Discard: This option is selected if there is a discard date to be entered for the resulting document in Documents Online. When selected, the user must enter the date in the Date field.

Execution

When the Document activity is executed, Workflow looks in the temporary file storage on the server for the temporary file that was created either from the output of a process (process-triggered model) or the output for a defined Workflow CDD report (CDD Report Activity). If the file is not found, the Document Activity is marked as "X" (Error) and continues. If the file is found, it is routed to the Documents Online creation methods (Process – Archive BusinessPlus Output, CDD Report – Archive CDD Output).

When successful, the activity is marked as a "Y" and the resulting Document ID is saved as part of the Model instance data. This Document ID can then be accessed in subsequent Task List or E-Mail activities, if the model property has "Include Document Links" selected as a link to the document viewer for said document.

There are currently no restrictions as to when a Document activity can be defined in a Workflow model. Therefore, it is important that a Document activity be defined in the Workflow model only when the model is process-triggered or contains a Workflow CDD activity.
